If you've only ever booked trips online or joined group tours, "tailor-made" can sound vague or expensive. In practice, it simply means that a real person designs your trip around you: your dates, your interests, your pace and your budget. This guide explains exactly how that works at Africa Awaits You, and when payment comes into it.
The short version: it costs nothing to start planning, and you only pay after you've approved your itinerary and quote.
Tailor-made, group tour or online booking?
Each approach has its place, and it's worth being clear about the differences:
- Online booking sites are fast and good for simple trips, but you assemble everything yourself and there's rarely anyone who knows the destination to advise you.
- Group tours run on fixed dates and routes with other travelers. They can be good value and sociable, but you can't change much.
- Tailor-made travel starts with a conversation. It takes a little more time upfront, but you get a trip built around you, with expert advice on seasons, routes and accommodation, and people on the ground who know you're coming.
We plan tailor-made trips only. There are no one-size-fits-all packages, and there's no online checkout.
Our process, step by step
1. Tell us about your trip
Start with our trip planner. It takes a few minutes and asks about who's traveling, when, where you'd like to go (or whether you'd like help choosing), your interests, the style of accommodation you like and a rough budget. Tell us as much or as little as you like. There's no fee to submit a request, no obligation, and we never ask for payment details at this stage.
If you'd rather talk, you can reach us by email, phone or WhatsApp using the details on our website.
2. We design your journey
A travel designer reads your request and may get in touch with a few questions: what excites you most, any mobility or dietary needs, whether your dates are flexible. We then work with trusted local partners to check availability and build a proposal.
Your proposal includes a day-by-day itinerary, the style and location of each place you'll stay, what's included and what isn't, and a clear quote. If one of our Featured or Sample Journeys was your starting point, we'll adapt it to you rather than copy it.
3. You review and refine
This is where tailor-made travel shines. Want a slower pace, a different lodge, an extra night on the beach or a lower budget? Tell us and we'll revise. We'll also be honest about trade-offs, for example when a cheaper camp means longer drives, or when a month you love comes with more rain.
4. You approve
When the itinerary and quote are right, you approve the written proposal. Before you do, we make sure you understand the payment schedule and the terms that apply, including changes and cancellations, which are set out in your written proposal.
5. You receive payment instructions
Only after you've approved your itinerary and quote does Travel Ease Company LLC send you payment instructions or a secure payment link. The amounts and due dates follow the schedule in your written proposal.
You'll never be asked to enter card details on our website, and we'll never ask for payment before you've approved your trip. If you ever receive payment details that look unusual, contact us through the details on our Contact page to verify them before paying.
6. We confirm and prepare
Once payment is received as agreed, we confirm your arrangements with lodges, guides and other suppliers, and send your travel documents: final itinerary, vouchers, contact numbers and practical notes on packing, tipping and what to expect.
7. You travel with local support
On the ground, you're looked after by experienced local guides and partners who know your itinerary. You'll have contact details for help during your trip, and we remain reachable throughout.
Why there's no online checkout
A tailor-made trip isn't a product sitting on a shelf. Lodge availability, flight schedules, park fees and seasonal rates all change, and every trip combines them differently. Taking payment through an instant checkout would mean charging you for something that hasn't been confirmed or designed properly. Human review first, then approval, then payment, is simply the honest way to do it.
How long does it take?
Our aim is to reply within one business day. How quickly you receive a full proposal depends on the complexity of your trip: a single-country journey is usually quicker than a multi-country safari with several light-aircraft flights. We'll give you a realistic timeframe when we first get in touch.
How far ahead should you plan?
For peak safari months, school breaks and gorilla trekking, starting six to twelve months ahead gives you the widest choice of camps and permits. For many other trips, three to six months is comfortable. Shorter notice is sometimes possible; just ask, and we'll be honest about what's available.
How to get the best proposal
- Share a realistic budget range and tell us whether it includes international flights.
- Tell us your must-haves and your "nice-to-haves."
- Mention flexibility. Moving dates by a week can transform availability and price.
- Include everyone's needs, such as children's ages, mobility, diet and celebrations.
