Booking Conditions

How booking works

1. You tell us about your trip. Sending a trip request or a message is free and doesn't commit you to anything.
2. We send a written proposal. It sets out your itinerary, what is and isn't included, the price, the payment schedule and the change and cancellation terms that apply.
3. You review and refine it. We adjust the proposal with you until it's right. Prices and availability aren't held during this stage unless we tell you so in writing.
4. You accept the proposal and pay as it describes. Travel Ease sends payment instructions or a secure payment link. Usually a deposit secures the trip and the balance is due before departure, on the dates stated in your proposal.
5. We confirm in writing. Your trip is confirmed once you've accepted the proposal, made the payment it requires and received our written confirmation.

What we need from you

• Traveler names exactly as they appear on passports, and any other details needed for permits, flights and accommodation.
• Any medical, mobility or dietary needs that could affect your trip, so we can plan around them.
• Valid passports and the visas or travel authorizations each traveler needs. Our website gives general guidance with links to official sources, but please verify requirements for your nationality before you travel.

Prices and payment

• Website "from" prices are guidance only. The price that applies is the one in your accepted proposal.
• We never ask for card details on this website, and we never ask for payment before you've approved your trip.
• If payment instructions ever look different from what you expected, contact us to verify them before paying.

Changes and cancellations

Changes and cancellations follow the terms in your written proposal, which reflect the conditions of the suppliers in your trip. Our Cancellation Policy explains how this works.

Travel insurance

We strongly recommend comprehensive travel insurance, taken out when you confirm your trip, covering cancellation, medical care and evacuation.

The rest of our terms

These conditions sit alongside our Terms of Service and Privacy Policy. If anything conflicts, the terms in your accepted written proposal apply to that trip.
